Job Description

Candidate will support Principal(s) as follows:

o Manage Executive calendars (schedule meetings; events, and travel etc.)
o Inform Principal(s) of scheduled items and updates in a timely and efficient manner
o Coordinate meeting logistics, assist with agenda preparation, gather information, prepare materials as needed and contact meeting participants
o Manage master calendar of deliveries, meetings and employee attendance
o Organize and Maintain database of contacts
o Speak with prospective clients and schedule interviews
o Maintain on going client relations, greet clients
o Coordinate and plan occasional social events - primarily business but personal as needed
o Manage travel arrangements
o Website maintenance, Social Media outreach
o Oversee and distribute incoming/outgoing mail, plan, organize and execute mailings and respond to invitations
o Oversee organizational and certain administrative tasks regarding the business processes such as filing systems, supplies, drafting/editing correspondence, scanning, emailing and business development
o Manage daily functions (i.e. correspondence, telephone, messengers, FedEx, etc.)
o Purchase and mail gifts as needed
o Liaise with housekeepers both business and personal
o Manage miscellaneous personal accounts (i.e. insurances, property maintenance, mortgages, etc. as needed)
o Organize and manage Expense Reports

Job Requirements

Knowledge and skills include: Strong commitment and work ethic, excellent organizational and interpersonal & leadership skills; the ability to multi-task while working independently; a positive attitude, is collaborative & enjoys working as part of a team. Clear verbal and written communication skills to engage on multiple levels professionally; methodical and detail oriented, punctual, plan and organize your workday, and prioritize duties. Professional and polished personal presence necessary who exhibits discretion and integrity. Takes pride in representing the firm by being the first point of contact via phone or in person. Knowledge of Microsoft Outlook, Word, Excel, Power Point, Photo shop and Studio Webware a plus. Minimum two years’ experience as an executive and/or personal assistant.
