Job Description


The Office Assistant is a dynamic, self-starter who will report directly to the Executive Assistant & Principal in supporting all aspects of the company’s office & marketing needs. The ideal candidate for the job will have varied interests across many topics (administrative/personal support, data entry, marketing, etc.) and a strong desire to contribute to the success of a growing Interior Design firm. This is not a design position, however, there is definite potential for growth within the company.

This is a full-time position, Monday through Friday, from 8:30 a.m. to 5:30 p.m.
Salary: $18.00 per hour


● Support Principal, Executive Assistant, and Design Director with all office, administrative, and other tasks as needed
● Act as office host/hostess – answer phones, greet guests
● Receive, sort and distribute incoming mail and packages
● Provide technical support/schedule technician regularly to troubleshoot issues
● Purchase/stock office supplies weekly and as needed, including office snacks and Executive Director meals and snacks
● Run errands as necessary including food/coffee runs, supply pickups/drop-offs
● Maintain office cleanliness daily (garbage/recycling, dishes, general maintenance)
● Update and maintain databases such as mailing lists, contact lists and client information
● Assist with travel arrangements for staff as needed
● Organize and set up for meetings in the office
● Assist in planning office events including Annual Retreat, holiday party, happy hours
● Purchase gifts/cards for staff birthdays and anniversaries; holiday and thank you gifts for vendors and clients upon direction of Executive Assistant

Marketing/Business Development:
● Support Marketing and Business Development teams as needed
● Assist with brainstorming and implementing creative ideas for Marketing and Business Development
● Take notes at all Marketing and Business Development meetings and organize weekly updates
● Manage all social media accounts
● Create and send quarterly email blast
● Organize and update company portfolio on I-pad
● Manage/update Google Drive

Job Requirements


• 1 year of administrative experience
• Experience in marketing preferred
• Experience and comfort working in a dynamic, fast-paced environment
• Enjoyment and appreciation of interior design and visual arts with an emphasis in creativity
• Excited to do whatever it takes to get the job done and assume duties beyond the core job description as needed
• Strong desire to continually learn and grow
• Positive, cheerful and professional demeanor


• Intermediate experience with Microsoft Office
• Experience with social media platforms (Facebook, Instagram, Twitter, LinkedIn)
• Must be detail-oriented, organized, accurate and consistent in all paperwork and data management
• Clear and concise communication skills, both verbal and written
• Creative, flexible, multi-tasking, problem-solving, and time management skills
• Excellent research skills; proactive approach to problem-solving
• Ability to interact with peers, management, staff and clients in a professional manner
• Ability to work within a team and proactively create harmonious and professional relationships
• Willingness to observe company policies, procedures, and the instructions of the Principal and management

Additional Requirements:
• Reliable car. Mileage is reimbursed at IRS standard rates.
